PCOU Willibrord Foundation streamlines hybrid education with automated class management

PCOU Willibrord Foundation, overseeing 41 schools in Utrecht, Netherlands, transitioned from a decentralized IT model to a centralized, cloud-based approach. Pre-pandemic, each school operated its own student information system (SIS), leading to inefficiencies and manual work when managing class data. With the onset of COVID-19, the Foundation rapidly deployed Microsoft 365 and Microsoft Teams across 34 schools to facilitate remote and hybrid learning models. Implementation was supported by Microsoft partner SPEYK, which helped integrate disparate SIS data via Microsoft School Data Sync. This automation enabled the Foundation to create over 8,000 digital class groups serving 9,369 students and 678 teachers. Processes previously handled manually at the end of each school year, such as class creation and teacher-student assignment, were automated. The system ensured learning continuity even if teachers were unavailable, as replacements could be managed centrally and students continued lessons seamlessly. Efficiency gains, reduced manual labor, and sustained education through crises were achieved. The Foundation now plans to leverage predictive analytics and AI chatbots to further assist educators. Centralization also allowed IT staff to respond quickly to sector changes and support ongoing innovation, which facilitated rapid scalability and flexibility for future educational needs.
